Location: RemoteNeshama Hospice is Canada’s first hospice residence founded on Jewish values, open to all. We are seeking a detail-oriented independent contractor to support our fundraising operations through expert management of our donor database, and donor communications systems
Position Summary:
Neshama Hospice is in an active organizational growth and operational build phase. This engagement is intended to provide flexible specialized support as fundraising systems, processes, and donor operations continue to evolve. This role is ideally suited to a fundraising operations professional, donor database specialist, or independent consultant seeking flexible, project-based work with a growing mission-driven organization. Hours are flexible and workload may vary based on organizational priorities and fundraising activities. Working in partnership with the Director of Development and Communications, this contract position ensures our donor data is accurate, our processes are efficient, and our donor communications are timely and meaningful.
Key Responsibilities:
Manage daily/weekly gift entry, receipting, and finance reporting in Donor Perfect (DP), including regular data reconciliation with the finance team Lead ongoing database integrity initiatives including regular reviews, cleanup, verification and completion of records Ensure ongoing accurate donor recognition is maintained, merging donor duplicates, standardizing data entry, and identifying donor relationships (links) and soft credits Set up and maintain automations for acknowledgements, receipting, and pledge reminders, and develop supporting templates Update DP fields, codes, and workflows to reflect evolving fundraising needs Develop and build report and mail merge templates to support evolving campaigns and donor communications Develop and document fundraising operational procedures to support long term data integrity Undertake and document gift entry processes to support consistent data integrity across users Monitor Tribute gifts to merge duplicates and report on total giving to families Support Neshama’s high standards of donor stewardship through email, telephone, newsletters, and Constant Contact list management Monitor the Donations email inbox and respond to donation-related inquiries sent as well as those forwarded through other inboxes (info@ and website contacts); review information coming from other subscription services and recommend appropriate action Assist with research for funding applications and donor reports and provide supporting data and documentation as appropriate Provide additional fundraising operations support aligned with the scope of the engagement as organizational needs evolve
What you bring:
Deep systems experience with Donor Perfect or a comparable CRM Strong attention to detail, ability to work independently and collaboratively, skilled at adapting to changing priorities Familiarity with Constant Contact or similar email platforms Clear written communication skills and a comfort with database automation Experience supporting fundraising operations, donor stewardship, or nonprofit development infrastructure in a flexible or consulting capacity is considered an asset
